Responsibilities and Duties:

President
shall
be responsible for presiding over all meetings, presenting any new business,
being the official spokesperson for the organization, acting as custodian of
all records of the organization, delivering to the successor in office all
records in his/her possession by fiscal year end, submitting a written report
detailing responsibility and recommendations to the future board by fiscal year
end, serve as an ex officio member of all committees except the nominating
committee, sign all contracts and tax returns on behalf of the PTO.
Vice President
shall act as aide to the President and
perform the duties of the President in the event of that officer’s absence or
the inability of that officer to serve, actively recruit PTO members and
volunteers, promote the benefits of membership. Brings Committee questions and
information to the board meetings. Coordinate the work of all the executive
board members and committees so that the purpose of the organization is served
Assist the treasurer with monthly bank statement reconciliation.
Secretary
- The Secretary shall keep the minutes
and records of the organization, distribute minutes to the membership at
subsequent meetings and to Executive Board members who are absent. The
Secretary will also maintain on file, in the school’s Main Office, the Minutes
of the fiscal year and the organization’s By-laws. Keeps an accurate record, at
all meetings, of the organization and the Executive Board, keeps and brings a
copy of the minutes, by-laws, membership list, standing rules and other
supplies to every meeting, conducts the correspondence delegated & file
correspondence received.
Treasurer -
shall
be solely responsible for the monies of the PTO., receives all monies due of
the organization & to disburse monies when ordered by the executive
board, keeps an accurate record of receipts and expenditures, and presents a
financial statement at every meeting of the organization, showing receipts,
expenditures & balances on hand in the bank and at times when requested
by the Executive Board. Perform the complete and timely filing of all federal
and state tax returns as well as other financial reports, pertaining to the
PTO’s 501(c)3 status, as applicable; and maintain accurate records of such.
Reconcile PTO records with the monthly bank statement. This reconciliation will
be a hardcopy organized in a treasurer binder.
Parliamentarian -
shall have and bring to all meetings a current copy of the ILTexas Saginaw PTO
By-Laws., advise on Parliamentary Procedures at all meetings. Ensure that rules
contained in current edition Robert's Rules of Order are followed. Maintains
orders at meetings. Advise and consult with board members on PTO procedural
matters when needed. Creating and publishing the annual PTO calendar.
Program Chair

shall prepare the plan for ILTexas programs/events for the upcoming school year
(including estimate of costs) to be approved by the board, obtain suggestions
on programs/events from members, schedules and announces upcoming
events/speakers, introduce speakers and/or activity, present speaker with gift,
if necessary submits in writing information about event to Communications Chair
for flyers/announcements, in the event of absence to a meeting ensures someone
to introduce speaker or program, appoints committees as necessary to organize
event/program.
Communications Chair -
shall be in charge of communication including but not limited to determining
communications needs, creating communications vehicles such as flyers and
newsletters, creates and maintains the Texas Saginaw
PTO website, and send out information using different types of social media
ensuring all school events and notices are posted and disseminated in a timely
manner, coordinating with other members to carry out communications as needed,
serving as a liaison between the school and the District with regard to
publicizing school events and establishing a committee for Spanish and Chinese
translations.
Volunteer Chair
-
coordinates staffing needs for PTO events, works with campus VIPS Coordinator,
actively recruits volunteer base, maintains list of volunteers and their hours
worked, works with committees to ensure adequate staffing for events and
programs, recognizes and thanks all volunteers and prepares committee report
for Board meetings when necessary.
Membership Chair
-
shall be responsible for actively recruiting PTO members, planning at
least one membership drive per year. Promotes the benefits of membership,
validates membership of attendees during General Business Meetings for voting
purposes. Prepares report for Board meetings when necessary. Enter and
maintain database of membership, one digital form where all board members will
have access to current listing along with current hard copy that will be
brought to all meetings.
Fundraising
Chair: shall research and recommend fundraising
events to board for approval, oversee execution of approved fundraisers, At
least one major fundraiser per school year. Appoint chairperson for each of the
Standing Committees listed below, prepare monthly budget report for Board
meetings.
